Application Process
- You must complete an Application Form and pay a $50 Application Fee for each child. This is not refundable. Your child/ren’s name cannot go on the waiting list until the Application Form and Fee have been received.
- Upon receipt of the Application Form and Fee your child’s name will go on the waiting list. You will receive a confirmation letter and receipt of payment.
Enrolment Process
- When a position becomes available you will be contacted. If at the time you are offered a position you are not ready to accept it, we will then offer the position to the next person on the waiting list. You will retain your position on the waiting list for the next 6 months. We cannot determine when a position will again become available.
- If you would like the position, an interview with the Head of Kids on Collins will be organised.
- Following the interview with the Head of Kids on Collins a position may be offered at which time will receive Welcome Package which includes the appropriate enrolment forms. A child is NOT PERMITTED to start at Kids on Collins without this documentation. Many of the questions are a requirement of the Department of Human Services regulations and are paramount in the safety and protection of your children. Families must advise Kids on Collins of any change to this enrolment information immediately. This must be done in writing on the appropriate form.
Upon accepting a position with us the following is required to confirm your enrolment at Kids on Collins.
- If you accept the position, a start date will be determined which cannot be more than one month from the date the position is offered.
- A confirmation deposit of 2 weeks fees must be paid within 7 days of the interview to hold your position at Kids on Collins. (You must always be 2 weeks in advance which will be used to cover the 2 weeks notice period when leaving Kids on Collins). If, following acceptance and confirmation of a position your child does not commence with Kids on Collins this amount will be forfeited.
- The enrolment forms must also be returned within 7 days so that all relevant data can be entered prior to your child’s commencement at Kids on Collins. This is for the well being of your child.
Accounts / Payment Conditions
Fees MUST be at least 2 weeks in advance at all times. (This will be used to cover the 2 weeks notice period when leaving Kids on Collins). Failure to comply with this may lead to your position being terminated. Accounts that fall more than 2 weeks in arrears will incur a $20 per week administration charge. This will automatically be billed to your account.(unless a Direct Debit Arrangement is in place for payments Monthly in Advance)
Both parents/guardians are jointly and/or severally responsible for payment of the account. Both parents/guardians must sign these Terms and Conditions in acceptance of this prior to a position being confirmed at Kids on Collins. The only exception to this is where court orders relating to access are involved.
Discounts:
- A discount of 5% is offered (on the weekly fee) for families who pay one month in advance. This discount is only offered to families who enter a Direct Debit arrangement with Kids on Collins (Credit Card or Bank account). The appropriate forms will be available in your Welcome Package and can also be obtained from Reception. Any amendments to payment details must be given in writing on the appropriate form.
- Sibling discounts – families are entitled to claim a sibling discount for the second and subsequent children when all children attend the Centre three or more days per week. The current sibling discount is 17 % for the second child and 20% for the third and subsequent children.
Late Fees
Kids on Collins is open Monday to Friday from 7.00am to 7.00pm. A late fee of $55 per 15 minutes, or part thereof will be charged if a child is left at the Centre after that time. This will be automatically billed to your account.

Changes to Existing Enrolment
If a change to an enrolment is requested, you MUST complete a “Change to existing enrolment form”. Two weeks notice must be given for all changes to enrolment.
A change to enrolment (ie: change in days) cannot always be accommodated but all attempts will be made. Approval can only be granted by the Head of Kids on Collins.
A fee of $50 will be charged if the change to enrolment is a reduction in days. (Increases in days will not incur a fee)
Extra day/s of Care
1. If extra day/s are required over and above a child's confirmed enrolment, parents MUST complete the appropriate form.
2. Extra Days cannot always be accommodated but every effort will be made. Approval must be granted by the Head of Kids on Collins and cannot be granted by the room staff. Families will be advised if the Extra Day can be accommodated.
3. A fee for an extra day applies. No discounts (other than Child Care Benefits) apply.
4. Kids on Collins is unable to offer occasional swapping of confirmed days of enrolment.
(For permanent changes to enrolment you will need to complete the ‘Changes to Enrolment Form’)
Declined Fees
A $20 fee is charged for any declined payment.
Enrolment
When an enrolment is confirmed it is done so on the basis of that calendar year, 1 January to
31 December. During each year all enrolled families will be required to complete an enrolment form for the following year as automatic progression to the next year level cannot be guaranteed.
Kids on Collins do not accept bookings for one day a week or casual bookings.
Parents intending to enroll siblings at Kids on Collins must do so on the official ‘Application Form’
The Head of Kids on Collins must sight the original Birth Certificate of each child upon enrolment.
Absences
If a child is absent for any reason, fees are still payable. This includes illness, holidays and public holidays and there are no make up days. All enrolments are based on a permanent booking for 52 weeks of the year.
All planned absences must be notified in writing, and submitted to the Head of Kids on Collins.
Cancellation of Enrolment
Two weeks notice is required in writing to the Head of Kids on Collins to cancel an enrolment. If adequate notice is not given, two weeks fees will be charged.
Kids on Collins reserves the right to cancel an enrolment with up to four weeks notice, if any of the following situations arise:
• Failure to pay fees – (You MUST remain 2 weeks in advance at all times)
• Failure to adhere to the regulations required by the Department of Human Services and/or other
Compliance legislation
• Compromising the safety and well-being of any child in the Centre
• Contravening the philosophy and / or the educational program of Kids on Collins
• Non Compliance to the Terms and Conditions of Kids on Collins
• Failure to provide and maintain the required enrolment information

Medical, Allergy and Dietary Requirements
If a child is ill, parents or the emergency contact person/s will be notified and expected to collect the child. If no response is received or no reasonable arrangement put in place, the parent will be reported to the appropriate authority.
Parents are obliged to pay for medical costs that may occur during an emergency.
Any child with allergies/medical conditions MUST have a Management Plan completed by the child’s doctor. These details need to be updated annually with a new Management Plan. If a child’s medical condition or dietary requirements change, Kids on Collins requires immediate verbal and written notification of such matters. Medical, Allergy and Dietary forms are available at Reception
Contact Details
Kids on Collins MUST be informed immediately, verbally and in writing (on the appropriate form) of any changes to contact information originally provided on the Enrolment Form.
Family Assistance Office - Child Care Benefit & 30% Rebate
Child Care Benefit (CCB) is a payment made to families to assist with the costs of child care. Families using child care provided by approved child care services may receive CCB. The government has also introduced a 30% rebate – a brochure will be included in your Administration Package.
It is your responsibility to lodge a claim for Child Care Benefit to the Family Assistance Office (FAO) before starting at the centre. Applications for Child Care Benefit must be made directly to the Family Assistance Office. You can do this by contacting them on telephone 136 150 or by completing the appropriate form in your Administration Package.
If your child has attended another Centre prior to this and you are in receipt of CCB, you must:
- Advise the FAO that your child is now at Kids on Collins and give them our Reference Number.

- Advise Kids on Collins of both your CRN and your child’s CRN
For Families who claim CCB at the end of the financial year as a lump sum payment, we must have:
Details of both your CRN, and your child/ren’s CRN for all Child Care Benefit claims. This will enable
your usage information to be submitted to the Family Assistance Office. We are unable to provide usage
without this information.
This is also necessary if you intend to claim your 30% rebate.
If your child has come from another Child Care Centre we must have written documentation of the number of Allowable Absences your child has used. You may need to contact your previous Centre to obtain this information.
